Job Description: Newman Long Term Care, one of the nation’s largest Long Term Care Insurance marketing organizations, has an immediate opening for a full time Administrative/Project Support assistant. The position requires an administrative professional with a customer service background, excellent verbal & written communication skills, and strong organizational/follow-through skills.
The primary responsibilities include:
- Provide administrative support to the Director of Sales and the Marketing Manager. Duties including but not limited appointment scheduling, creating workflows, coordinating and performing multiple tasks that require close attention to detail. The ideal candidate must be able to work independently, manage and prioritize multiple projects simultaneously. Candidate will help direct the workflow between Sales and Marketing.
- Advanced skills with Microsoft Suite. Working knowledge of Microsoft SharePoint is a plus. Quick learner with technology including CRM software.
- Helping create project and event timelines and managing tasks to those timelines. Work with Sales and Marketing to secure and organize tools (marketing collateral, lists, etc.) needed for success in the project. Manage front-end and post-event items (data entry, sending correspondence, sending requested follow-up items, etc).
- Scheduling of internal and external meetings and events for Sales and Marketing Departments.
- Communication skills – composing follow-up correspondence. Proofreading sales or marketing pieces, and editing for brevity.
- Analytics – Gather statistical information and create reports/summaries. Weekly reports to help track sales/conversion rates, follow-up activities, and ROI on various sales and marketing initiatives.
- Administration of Continuing Education courses including state filings, course rosters, logistics and course content.
This position reports to the Sales Director and will also interact directly with the Marketing Manager.
Requirements: The ideal candidate must be able to work independently, manage and prioritize multiple projects simultaneously. This position requires strong organizational skills, excellent communication and interpersonal skills, proficiency in all of the Microsoft Office applications (with an emphasis on PowerPoint, Excel, Word and OneNote). Working knowledge of insurance/financial industries a plus, but not required.
